Facilities Operations Planner – Seattle, WA
The Facilities Operations Planner will support Nordstrom’s Corporate Facilities team in maintaining a safe, efficient, and well-managed workplace across multiple buildings, states, and business units.
This role is responsible for planning, scheduling, and coordinating maintenance activities using Computerized Maintenance Management Systems (CMMS) and operational data. The position partners closely with Facilities leadership, Maintenance Technicians, and cross-functional teams to ensure maintenance work is proactively planned, properly scoped, and executed efficiently to support equipment reliability and workplace experience standards.
A day in the life…
- Plan, schedule, and coordinate preventive and corrective maintenance activities across multiple sites
- Review and prioritize work orders, define scope, and determine level of planning required based on criticality, resources, and operational needs
- Develop and maintain a multi-month maintenance schedule, ensuring work is proactively planned and balanced across available resources
- Ensure all work is appropriately scoped, estimated, resourced, and in a ready state prior to execution
- Estimate labor effort, materials, and resource requirements to support effective planning and scheduling
- Develop job plans and work packages that outline materials, tools, access requirements, and key execution steps for technicians and vendors
- Utilize CMMS and related systems (e.g., ServiceNow, Prism, Coupa) to manage work orders, maintain asset data, and ensure accurate documentation and closure of maintenance activities
- Monitor system alerts and coordinate response with Facilities Managers, Maintenance Technicians, and vendors to ensure timely resolution
- Coordinate vendors and contractors, ensuring appropriate scheduling, site access, and execution readiness
- Track service level agreement (SLA) performance and support vendor accountability and continuous improvement
- Analyze maintenance and work order data to identify trends, improve planning accuracy, and reduce reactive work
- Prepare weekly planners, pass-down reports, and operational summaries to support team alignment and visibility
- Support Facilities Project Management (PMO) and Program teams through site walks, vendor coordination, purchase order support, and scope validation
- Partner with cross-functional Facilities teams (e.g., Engineering, Workplace Planning, Programs) to support project execution and drive progress across initiatives
- Oversee workplace operational needs including kitchenette supplies, stock room inventory, and general workspace upkeep
- Conduct routine walkthroughs to assess facility conditions and support workplace experience standards
- Support development and continuous improvement of standard operating procedures (SOPs) and maintenance workflows
You’ve got this if…
- 5+ years of experience in facilities, maintenance planning, or operations in a multi-site environment
- Strong experience using Computerized Maintenance Management Systems (CMMS) and managing work order workflows
- Proven ability to plan, schedule, and coordinate maintenance activities with a proactive, data-driven approach
- Experience estimating labor, materials, and resource requirements for maintenance work
- Experience working with vendors, contractors, and cross-functional teams
- Strong organizational, analytical, and problem-solving skills
- Proficiency in Microsoft Office (Excel, Outlook) and maintenance-related systems (e.g., ServiceNow, Prism, Coupa)
- Excellent communication skills with the ability to coordinate across multiple stakeholders
Preferred:
- Experience in maintenance planning/scheduling or reliability-centered maintenance environments
- Knowledge of building systems (mechanical, electrical, plumbing, controls)
- Experience supporting corporate, retail, or multi-site facilities operations
Experience with reporting, data analysis, and performance tracking
